Approval to Hire

Consult with your Project Liaison before you post a position or make a job offer to be sure your project has approval to hire. For projects that require fingerprinting or background checks, the process must be completed and results received before the employee’s first day. (Click here to view Live Scan Procedures.)

Once you have completed your search and selected your candidate:

1) Turn in to Human Resources a Request to Hire form for each candidate. (Click here for a Request to Hire form or here for a Request to Hire – Project Leader form.) Please submit this form no less than three business days prior to employee’s first day.

Project Leaders should complete the Request to Hire form:

  • The requested hire date should be the employee’s first day of employment.
  • Please indicate if the employee is Exempt or Non-Exempt (eligible for over-time pay).
  • Sign and date on the Project Leader signature line.
  • When filling out the Request to Hire – Project Leader form, ensure that an advisory board member reviews the request and signs on the Board Member signature line.

Attached to this form please submit a job description for the position.

2) The new employee must complete new hire paperwork. The new hire paperwork must be turned in to Human Resources on or before the first day of employment.

New hire paperwork can be completed one of two ways:

a) You can set up an appointment with Leslie Flores in Human Resources. Before an appointment, ensure the candidate completes the Community Partners Employment Application (do not allow “see resume” to be written in the areas that relate to the past work experience section of the application, or any other areas) and brings proper documentation to verify employment eligibility in order to complete the I-9 form.

b) Download, print, and complete all of the new hire forms from the Community Partners intranet and fax them to Human Resources. (You can access the intranet by going to
www.CommunityPartners.org and clicking on Project Leader Login in the bottom right-hand corner. Please obtain login information from your Program Liaison.) The Human Resources fax number is (800) 948-4614. When faxing in documents, please follow up with a same-day phone call to ensure these documents have been received. You must also submit the I-9 Form with copies of the documents provided by the employee to verify employment eligibility. On the I-9 Form, Project Leader will need to complete Section 2: Employer Review and Verification, including the Certification section. Please indicate Community Partners as the “Business or Organization Name” and use the head office address.

Timesheets

Please keep in mind that employees must turn in timesheets at the end of each pay period so that they are paid accordingly and in a timely manner. (See current year Holiday & Payroll Calendar).
